GROUP-WIDE AI STRATEGY, FROM FRAMING TO OPERATIONAL ROLL-OUT

The Challenge

One of the largest events-agency groups needed to move from scattered, opportunistic AI experiments to a coherent, group-wide strategy spanning every agency. A central goal was to lighten low-value, repetitive tasks and create productivity gains, so teams could refocus their time on high-value, creative and client-facing work.

The ambition was clear: identify where AI could create real value across the events value chain, prioritise the highest-impact opportunities, and turn them into tools teams would actually use, without disrupting live client delivery. This required both a sharp reading of the sector's operating realities and deep, hands-on AI expertise, a combination rarely found in a single team.

The Solution

We framed the AI strategy across the group and its agencies, then identified and prioritised 30 concrete use cases, ranking them by business impact and feasibility.

Beyond the strategy, we drove operational roll-out of the selected AI tools, working with a team that combined sector expertise with cutting-edge AI capabilities, so that each solution was designed for the reality of events operations and adopted on the ground rather than left as a prototype.

The Impact

The prioritised use cases are estimated to free up around 150k working hours across the group, the equivalent of roughly €15m, by automating low-value, repetitive tasks and redirecting that time toward higher-value creative and client work.

Just as importantly, the group moved from isolated pilots to a structured AI roadmap, with the sector and AI expertise to keep scaling it.
